Elected OSC Positions
Slate for elected positions will be announced via email NLT April 2, 2008. Elections will be conducted during the April function. Installation of officers will occur at the May function.
President: Presides over the FBAOSC General Membership Meetings and Executive Board meetings. Is a member of all committees except the nominating committee. Represents the club at meetings at the installation level. Is responsible for reviewing and signing all contracts and obligations authorized by the Executive Board. In conjunction with the Advisor and Honorary President, selects the Parliamentarian and all Standing Committee Chairpersons. (40 hours/month)
First Vice President: In the absence of the President, assumes the President's duties. Coordinates all welcomes and/or farewells for the OSC’s Honorary President and Honorary Advisor. Coordinates gift for outgoing OSC President. Attends committee meetings for budget, welfare, and fundraising. Plans and coordinates all special activities for the OSC club members. (10-15 hours/month)
Second Vice President: Arranges programs for general membership meetings, to include securing guest speakers and scheduling vendors. Responsible for coordinating the menu and decorations for monthly meetings. This is a job for someone who can multi-task, as upcoming events can take up to 6 months of planning. Also needs to develop bonds with other board members to get their assistance at programs. ( 20-30 hours/month)
Recording Secretary: Maintains and distributes minutes of all meetings. Compiles after-action reports. Types and distributes OSC Board meeting agendas. Serves on the Constitution and By-Laws Committee. (10-15 hours/month)
Corresponding Secretary: Responsible for the distribution of mail to the board and committees. Monitors the OSC Cottage answering machine. Distributes all correspondence in a timely manner. In the absence of the Recording Secretary, assumes the office temporarily. (10 hours/month)
Treasurer: Responsible for receiving and disbursing all OSC funds. Prepares a monthly financial statement and annual budget. Serves on the Budget Committee. Should have a general knowledge of how an account ledger works. Must be responsible and organized. (10-15 hours/month)
Appointed OSC Positions
Appointed OSC Board Positions are notified by the incoming OSC President after review with Honorary President and Honorary Advisor. They will be notified shortly after the Elections of Officers. They are expected to attend the May Luncheon for installation of the 2008-2009 Fort Lewis Officers’ Spouses’ Governing Board.
Assistant Treasurer: In the absence of the Treasurer, has the same authority to receive and disburse funds. Assists with the financial operations as required/requested. Attends Board meeting as a non-voting member of the Board. (10-15 hours/month)
Parliamentarian: Facilitates meetings by advising the board on parliamentary procedures in accordance with the Constitution, By-Laws, and Roberts’ Rules of Order. Coordinates all votes. Chairs the Nominating Committee and Constitution and By-Laws Review Committee. Is a non-voting member of the Board. (10-15 hours/month)
Cottage: Responsible for the overall operations the OSC Cottage and silver. Coordinates clean up of Cottage with membership and Directorate of Public Works. Ensures all borrowed silver is under contract. (4 hours/month)
Membership: In charge of setting up and running the Fall Membership Drive. Collects membership applications and compiles the membership directory. Responsible for welcoming all newcomers and guest at General Membership functions. (10-15 hours/month)
Publicity: Arranges for all appropriate publicity. Provides press releases to include photographic coverage of OSC activities. Oversees printing of OSC Literature with exception of the Directory and “Soundings.” Appoints a Webmaster to maintain club website with current monthly information. (2 hours/month)
Webmaster: Update web site every month with the upcoming activities. Make any changes to the site as requested by board. Manages OSC website and account through company that hosts site. Ensures email links on site are viable. (10-15 hours/month)
Reservations: Takes all reservations for OSC functions. Organizes all the information and coordinates with the 2nd Vice President. Responsible for collection of monies at OSC functions and settling the accounts. Has name tags available at all appropriate OSC functions. (5-15 hours/month)
Child-Care Reservations: Responsible for collecting names and ages of OSC members’ children requiring child-care for Tuesday evening events. Coordinates with CDC for child-care slots (3 hours/month)
Soundings: Prepares the “The Soundings” for OSC membership. Solicits for adds, collects fees and submits monies to the Treasurer. Responsible for editing, formatting, publishing and distributing “The Soundings.”
Ways and Means: Provides an inventory of items of interest to the membership. Conducts fund-raising activities at membership events. Coordinates the supply and sales of specialty merchandise and on-going fund-raising projects. (10-15 hours/month)
Welfare: Chairs and coordinates Welfare Committee in compliance with the OSC Constitution. Compiles welfare request and reviews requests, presenting a recommendation to the Governing Board. Serves as a member of the Budget Committee. Requires getting application packages out into the community, committee meetings and a great deal of correspondence. (FEB-MAR 40+ hours/month, 2 hours/month remainder of the year)
Hospitality: Obtains all opportunity prizes for luncheons and OSC activities. Decorates table for OSC functions with the guidance of the 2nd Vice President. Coordinates the welcome of newcomers to OSC functions. Conducts sales of opportunities at all events. (5 hours/month)
Historian: Responsible for maintaining historical files. Organizes and updates scrapbooks of OSC President and other honorary positions and archives. Takes pictures at all OSC functions. (10-15 hours/month)
Holiday Bazaar/Fundraising: Job begins early for a highly motivated and organized individual! Responsible for coordinating vendors and talent for the Holiday Bazaar. Coordinates for turn-in all monies raised. Coordinates volunteers for set up, clean-up and running of the event. Serves as a member of the Budget Committee.
Volunteer Coordinator: Ensures that OSC volunteers record their hours via the Volunteer Management Information System (VMIS) and updates duty positions and volunteer opportunities in VMIS as required.
Acts as liaison between the OSC and senior spouses of organizations (units) on post to ensure maximum dissemination of information and coordination of volunteers. (5-10 hours/month)
